Shared Addresses for Online Sellers: The Risks and How to Choose a Dedicated Address
Many sellers register their company and store at the same shared Hong Kong address. Common problems, what marketplaces check, and five questions to ask before choosing a dedicated registration address.
Short answer: Marketplaces check that your company name, address and contact details are consistent. When one address is registered to a very large number of companies, you are more likely to be asked for extra documents, and appeals are harder to explain. An address used only by your company, where official mail actually reaches you, reduces that friction; marketplaces still decide, and no address guarantees approval.
Three common problems with shared addresses
- Hard to prove: address proof (bank statements, utility bills) may not show your company name at that address.
- Overlap with other accounts: major marketplaces restrict multiple seller accounts for the same business; many unrelated companies at one address can create overlapping details that need explaining.
- Missed mail: verification letters from platforms, banks or government can be delayed or lost.
Five questions to ask
| Question | Why it matters |
|---|---|
| Is the address used for platform registration by your company only? | Less overlap with other accounts |
| Does the provider hold a TCSP licence? | Providing a registered address is a trust or company service that needs a licence (check the Companies Registry register) |
| Will they receive and notify you of important mail? | Verification letters have deadlines |
| Industrial or commercial building? | Affects the price |
| What are the term and renewal arrangements? | A change of address must be updated everywhere |
Keep every record consistent
Your Companies Registry record, business registration, bank account and seller account should show the same address. When you move, update the Companies Registry and IRD first, then the bank, then the marketplace, and keep proof of each step.
